Introduction to the Admin Center

The Admin Center allows administrators to manage Users, licenses, company-wide dictionary entries, and writing styles for the entire organization, all self-hosted in your own tenant.

It's a browser-based console, separate from the desktop app. Dictation itself never happens here, only the settings that shape it for everyone. The desktop app links straight to it with Open admin portal under Settings.

Let's go through what you'll actually find once you sign in.

👤 Who Can Access It​

The Admin Center allows only administrators of your tenant to sign in; everyone else lands on a short note explaining they don't need it.

If you're not an administrator, that's by design. Dictation happens entirely in the VoicePilot desktop app, using the same organizational account you'd sign in with here.

For example, a regular user who opens the Admin Center gets a friendly explanation and Download for macOS and Download for Windows buttons, rather than a confusing access error.

Overall, keeping the two surfaces separate means administrators get a proper management console without turning dictation itself into something that feels locked down.

🎛️ Overview​

The Overview page allows you to see the health of your VoicePilot deployment at a glance: Active users against your license count, Dictated words, and the Time saved compared to typing.

You'll also see Activity over time, a day-by-day chart of dictations across your organization. Open tasks sits beside it, and that's where pending invitations nobody has answered turn up.

Keep in mind that three surfaces here are still marked Preview. The Token cost tile shows a dash and says no cost data is available yet, and the Cost forecast and Usage by Entra group cards do the same.

Overall, Overview is where you'd check first to see whether adoption is going the way you expected.

✅ Managing Users and Licenses​

Users allows you to invite people, assign roles, and grant or revoke licenses, all from one table.

Since VoicePilot syncs with Microsoft Entra ID, you're working with real organizational accounts rather than a separate set of credentials. Click any row and a drawer opens with that person's own usage, right down to which apps they dictate into.

Overall, Users is the fastest way to answer "who currently has access" without digging through Entra directly.

🎨 Company Styles and the Shared Dictionary​

Styles allow you to define writing tones for specific communication contexts across the whole organization, the same way an individual sets a Style Preset in the desktop app. Every style you create here is shared with your whole team.

The tenant-wide Dictionary works the same way: terms added here apply to everyone, on top of whatever each person has added personally.

Overall, both let you standardize how VoicePilot writes for your organization instead of leaving every consistency fix to individual users.

📊 Reports​

Reports allow you to look at adoption over the last 7, 30, or 90 days, across five tabs: Overview, Usage & Adoption, Apps, Functions & Commands, and Time & Money Saved.

The last of those turns dictated words into an hours-and-euros estimate you can hand to whoever signs off on the licenses.

Overall, Reports is what you'd bring to a renewal conversation, since it puts a number on something that otherwise stays anecdotal.

💳 Your Subscription​

Subscription allows you to manage your organization's VoicePilot plan directly from the portal. If your tenant doesn't have an active subscription yet, you'll see a prompt to start one; payment runs securely through Paddle.

Overall, Subscription keeps billing changes in the same place as everything else you manage, instead of a separate vendor portal.

⚙️ Settings​

Settings allows you to see how VoicePilot is wired into Microsoft Entra ID, set the policies that apply across your tenant, and decide who else gets in here.

That's where you'd turn on automatic license assignment, choose which dictation languages your people are allowed to use, and promote a colleague to administrator.

Overall, Settings is the shortest page in the portal and the one you'll open least often, which is exactly what you want from it.

👣 Coming Soon​

A few sections sit in the sidebar under Coming soon: Entra Groups, Functions, Commands, Integrations, and Cost & API. They're on their way and will let you scope features by group, enable functions selectively, and track spend in more detail.

They're browsable today, so you can see where things are heading. The data behind them is example data, not your tenant's.
