Setting company-wide Styles

Styles allow you to define company-wide writing tones that apply across your organization, the same idea as a personal Style Preset in the desktop app, but managed centrally and shared with everyone.

🎨 Creating a Company Style​

Click New style to add one, or select an existing entry from the list on the left to open its detail card on the right. Each style carries three things you'll want to fill in:

  • Instructions - the rewrite prompt describing the tone you want, for example a formal register for client-facing apps such as Outlook.
  • Trigger phrases - phrases that activate this style when spoken at the start of a dictation. Type one and press Enter to add it.
  • Apps - the app bundle IDs this style applies to automatically, such as com.microsoft.Outlook. Type one and press Enter to add it.

💡 Changes save automatically as you edit, so there's no separate save button to remember.

Every style you create here is shared with your whole organization, which is exactly what distinguishes it from an individual's personal preset. Your users see these under the Team tab of the Style section in the desktop app, where they can apply them but not edit them.

Until you've made your first one, the list shows a No styles yet empty state, inviting you to create a team style and set communication styles centrally.

✅ Enabling and Removing a Style​

Each style carries a switch marking it either Active in VoicePilot or Not active. Toggle it off to pause a style without losing its Instructions, and back on when you want it again. A summary above the list tells you how many styles you have and how many of those are active.

Click Delete style to remove one permanently, then confirm; deleted styles can't be recovered.

Once a company style is active, it applies to everyone in your organization the moment they dictate into a matching app or say a matching trigger phrase; see Using Style Presets for how this looks from an individual user's side.

Keep in mind that signed-in VoicePilot apps pick your changes up automatically within about 15 minutes.
