Managing the tenant-wide Dictionary
The Dictionary in the Admin Center allows you to add terms that apply to everyone in your organization at once, rather than each person adding the same correction individually.
✅ Adding a Term
Type the word into the Term field at the top of the page and click Add. It's saved immediately and applies tenant-wide from that point on.
Every entry lists the Term itself, who Added by, and the Added on date, so you always know where a term came from and who to ask about it. A count under the list confirms how many entries you have and that they apply tenant-wide to all users.
For example, if your company name or a product name keeps getting misheard across the organization, adding it once here fixes it for every user, everywhere.
Until you've added anything, the page shows a No terms yet empty state and invites you to add one above.
👤 How It Relates to Personal Dictionaries
This tenant Dictionary is exactly what your users see under the Shared with team tab in their own Dictionary in the desktop app; see Building Your Custom Dictionary for how it looks from their side.
They can view and Search these entries, and dictation applies them, but they can't Edit or Delete them. Only an administrator manages them, and only from here.
💡 Tenant terms sit on top of each person's own Personal entries rather than replacing them, so adding a term here never disturbs anything a user has added themselves.
🗑️ Removing a Term
Click the Delete icon at the end of any entry's row to drop a term you no longer want applied. Once it's gone, VoicePilot stops applying it to new dictations across the organization.
Signed-in VoicePilot apps pick the change up automatically within about 15 minutes.
